Dear Exhibitor,


Welcome to the Avi Africa 2012. We wish you every success with your participation and hope that you will enjoy the exhibition.

The floor plan has been approved by Emperors as well as the local Municipality’s Health and Safety officers. The area is very full and we need your support to not exceed your stand space. Nothing will be allowed outside of your stand and in the passages. Please note that you are not allowed to close your stands facing the isles.

Shell Scheme

Please make yourself aware of all the compliances of the Occupational Health and Safety Act that came into operation on the 1st of August 2010.

Build-up
  • Shell scheme will be done by Concept Exhibitions & Events. Our contact person is Gill Gibbs. She is also able to build designer stands at your request. Please contact her directly on +27(0)11 462 6813.
  • Exhibitors can start set-up of their stands on the 28th May from 07:00 till late.
  • If you have your stand build by an outside company please make sure that you have an approved plan and are within the health and safety regulations. You will be allowed to start after 12:00 on the 27th. This will allow Concept Exhibitions to do the layout of the stands.
  • Please note the height restriction of 3.5 - 1 meter above the shell scheme.
  • There will be 2 forklifts and 10 big trolleys to assist with your equipment.

Please contact me should you have big equipment to arrange for it to be put on your stand on the 27th. Otherwise all big equipment will only be allowed to come through the restaurant on the ground floor after 11:00. There is also a height restriction of 2.1 meters high.


Stand Extras

  • All stand extras can be directly ordered from SAPA who will invoice you.
  • For all other furniture see attached.
  • Designer furniture can be ordered directly from Gill Gibbs on +27(0)11462 6813.

Break-down

  • Breakdown can start from 15:00 on Thursday 31st May 2012 after lunch. Concept Exhibitions & Events will also start their breakdown at the same time. Please note that we have to clear the area by 22:00.
  • It is the responsibility of each exhibitor to be at his/her stand during the breakdown to ensure the safe removal of exhibits. Please note that the organisers cannot be held responsible for any loss or damage.

To ensure a professional conclusion of the event and to honour the interests of supporting groups’ programmes, please ensure that your stand is manned till 15:00. Remember that this is also your event and your co-operation in this regard will be appreciated.


General

Some “administration” pertaining to the build-up and breakdown of the stands are listed below. Please adhere closely to these, as the newly hired security company at Emperors Palace is doing their utmost to ensure the safety of your equipment for the duration of the expo. Please ensure that no loose items be left at your stand in the evening.

  • A cancellation fee of 25% will be applicable should you cancel your stand after 1 April 2012.
  • Registration is compulsory. Please ensure that we receive the completed registration forms and payment for all your representatives that will man your stand and any guests that may be joining you. (Registration form attached).
  • We will have a full day tea station available to all registered delegates. The tea station will be in the smokers lounge and it becomes therefore a non-smoking area. Snacks will be placed on cocktail tables in the isles between the stands.
  • Lunch will be served in 2 sessions. Exhibitors can make use of the first session to ensure that they are back at their stand when congress breaks for lunch. Make sure that you receive your lunch vouchers with registration.
  • Your conference registration nametag will be your pass for free parking. Under roof parking is also available.
  • Additional security for your stand is also available, whereby it will be guarded after closing time. This service is available at a charge by the security company. Please speak to Hendrien should you wish to make use of this service.
  • The exhibition hall will open every day at 07:00 and close at 18:00 (except for the Tuesday evening when the cocktail function will be held between the stands). Cocktail tickets are for sale at R180 per person who is not registered.
  • No exhibitor will be allowed to close their stand facing the passage way.
  • No liquor will be allowed to be brought onto the premises other than that which will be for sale at the venue. However, you may bring your own snacks and cold drinks to serve at your stand.

Dear Exhibitor

 

EXHIBITORS NOTICE

Thank you for taking up stand space at Avi Africa 2012. We trust that you will enjoy the time with us and that you will have a very successful exhibition.

For all the new exhibitors’ sake I would like to bring the following to everyone’s attention:

  1. By now you have paid 50% deposit on your stand. Final payment for stand space should be paid by 2 May 2012.
  2. Registration for all exhibitors is compulsory. The registration includes all the teas, snacks, lunches and also the cocktail function.
  3. There will be two lunch slots. The first for the exhibitors and the second slot for the conference delegates. 3 teas with snacks will be served and for exhibitors tea will be available throughout the day.
  4. A cocktail function will be held on the first evening of conference i.e. Tuesday, 29th May from 18:00 between the stands.
  5. We have a formal banquet on the evening of the 30th May. Tickets are sold at R1100 per person or R11 000 (all plus VAT). Please book with Louisa at our office.
  6. Concept Exhibitions & Events will do the stand set-up on Sunday 27th May. If you have big equipment please contact me to arrange with them to bring in your big equipment earlier.
  7. Please note that all big equipment can only then come through the breakfast area from 11:00 in the morning of the 28th May. The height restriction is 2.2 meters x 3.2 meters.
  8. Exhibitors can start set-up of their stands on Monday morning from 07:00 till late. All stands should be ready at 08:00 on the morning of the 29th May.
  9. Should you only need space you also need to communicate this to me to allow me to arrange a single distribution board.
  10. Please note that the Exhibitors Pass form is for you to get into Emperors on the 28th May do set-up. Make a copy and complete for each employee.
  11. We do not pay at the entrance gate. Please inform them that you are coming to Avi Africa.
  12. Should you need the standard furniture that is supplied with your stand, please let me know so that I can arrange with Emperors (via e-mail please). If you do not arrange with me, you will not have the standard trestle table (covered) with 2 chairs for your stand.
  13. You will have 2 spot lights with 1 plug point for each stand. Please note that coffee machines will trip the electricity – you need 3-phase electricity for this.
  14. All stand extras can be ordered directly from me. SAPA will invoice you.
  15. There will be security throughout the time of the exhibition. Valuables can be placed overnight in the SAPA store room behind the stage – at the entrance.

We will have a 3 page Avi Africa advert in our house magazine, Poultry Bulletin and are placing all exhibitors in categories SUPPLIED BY YOU. Please see the list attached. Forward this back to me with your company name and 1 contact (either a cell no, telephone no or email address). Our ad will be placed in the April issue. Should we not have received this by Friday 12th March your company name will not be placed in any category. You can use as many categories as you wish.

Then, for our congress brochure I need your company logo (jpeg), all contact details and 100 words company profile (word). Please try and stay within the 100 words limit. We also need this as soon as possible but not later than 20th February 2012.

Further for the first time we are looking for a sponsorship of R50 000 to sponsor our congress brochure. We can brand the brochure at the bottom of each page as well as a full page advert as well. Should you be interested in this you need to contact me as soon as possible.
